Project Management Coordinator

The WNET.ORG family of companies is a major producer of broadcast and online media for local, national and international audiences, creating award-winning content in the areas of arts and culture, news and public affairs, science and natural history, documentaries, and children’s programming.

The Project Management Coordinator provides administrative and production support to the Project Management staff, including general administrative and project coordination.  S/he will be expected to perform general production administrative duties for various project managers including photocopying, updating and maintaining department filing, coordinating meetings, ordering office supplies, distributing budget information, making travel arrangements, and obtaining permits from the mayor’s office.

Additional responsibilities include:

  • Assist with the administrative duties of the department including preparation of time sheets and invoices to submit for processing;
  • Track and follow-up on the processing of time sheets and invoices.
  • Assist Project Managers preparing and circulating contracts, invoices and expense reports;
  • Support production on various levels:  booking  internal facilities, obtaining releases, arranging catering and greeting guests;
  • Liaison for internal facility administration including Accounts Payable, Payroll, Marketing, Development, Legal, and IT;
  • Input financial information into Excel and Lawson;
  • Enter monthly journal entries and maintain department schedule;
  • Update project list and project status list for department;
  • Help Project Managers track project actuals and report to budget;
  • Update and maintain spread sheets for certain projects.

To qualify, candidates should have a BA or BS and at least two (2) years of experience providing administrative support to more than two (2) people.  Advanced Word and Excel skills are required as well as excellent analytical, organizational and communication skills.  Candidates with knowledge of Lawson software are preferred as are those with an interest in television production and finance.
