An immediate opportunity is available for an energetic, organized Administrative Assistant to provide critical support to the Celebration of Teaching & Learning conference and to the Education Department in general. This is a highly visible position requiring exceptional communication and organizational skills as well as the ability to take initiative, multi-task, and work effectively in a team environment.
The person who fills this position will provide administrative support, including: coordinating appointments; making travel
arrangements; screening and directing telephone calls and requests; managing correspondence; maintaining departmental time
sheets and tracking of budget codes, expense reports (for VP, Sr. Directors); ordering supplies; coordinating/tracking grant
applications, funding proposals; coordinating Education Department volunteers/interns; supporting events conducted by State &
Local Ed Services and LAB Units; and tracking action items for Strategy team meetings, as needed.
Projects and responsibilities related to the Celebration of Teaching & Learning’s annual conference include:
- Assisting with talent contracts, travel booking, and expense reports; includes coordination of RSVPs for special events and receptions, invoicing/payments/follow-up on all contracts w/ talent and external vendors/staff.
- Assist with logistics for smaller events and pre-conference meetings.
- Coordinate signage with designer, printer, and sponsorship team.
- Upload event content in coordination with web editor.
- Support event marketing promotion, staff promotional booth at conferences as needed.
- Support internal organizational meetings (monthly and ad hoc)—conference room reservations, scheduling, catering as needed.
- Unit support of supplies, shipping, timesheets.
- Support event marketing promotion—register for conference booths/attendance, staff promotional booth at conferences as needed.
- Special assignments as designated by supervisor.
To be considered, candidates must have a BS or BA degree, at least one year experience in an administrative support role, outstanding computer skills and complete knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook). The successful candidate will have very strong attention to detail, the ability to create priorities and meet deadlines, as well as good organizational and problem-solving skills. This position also requires strong verbal aptitude, including excellent writing skills and phone manner, as well as the ability to take initiative, multi-task, and work effectively in a team environment. Candidates preferred are those with a background in education and/or educational media and/or event, conference or meeting planning. Occasional overtime will be required.
